First and last name
We use this for appointment bookings.
We use this to contact clients regarding anything in relation to their appointment.
This information is used in case of emergency whereby someone needs to be contacted at your address. We also use this for gift vouchers to be sent in the post that have been purchased by friends/family.
This information enables us to perform all of your treatments correctly and safely. Some medications or conditions could react with some of the products we use or be a contra-indication to a particular treatment. It is very important that you keep us up to date with any medical changes, you can of course refuse to provide this information, however we would have to refuse your treatment as this is a legal requirement for our insurance.
Date of birth
Again, this is in case of an emergency, whereby the emergency services may need to be called. We also use this information to treat our clients with a discretionary birthday gift.
This is required for client safety as some of our treatments require a patch test prior to ensure no allergic reactions occur. These certain treatments cannot be performed without this information.
This information helps us to provide you with the best possible client experience, it allows us to keep all of your treatments at The Beauty Room Gilmorton consistent. It is also very important for us to be able to access your product history so that we can be sure to recommend you the correct products i.e. skincare so that you achieve the best results possible.
We sometimes like to take photos for social media and marketing purposes of some clients treatments or before & afters etc. However, we will Never take photos without your permission nor will we post them on social media without either your verbal or written consent. Complete patient confidentially will be maintained at all times and consent can be withdrawn at any time.

Through our booking software ‘Ovatu’ some of our consultation/consent forms will require you to read and sign a statement. By agreeing to this form and giving your consent, you acknowledge and understand all information listed. This agreement will remain in effect for your treatment, as well as all future follow-ups conducted by The Beauty Room Gilmorton.
This confirms that you have read and answered all information. It also means you agree to the ways that we hold and handle your data in salon.
How we store your data
How long we store your data for
We have a legal obligation to retain your records for 7 years after your most recent appointment with us. After this time your records will be destroyed in a method compliant with GDPR.
You have the right to access and amend any of your personal data that we hold at any time, you can also ask the owner of The Beauty Room Gilmorton to correct any factual errors. Provided the legal minimum period has elapsed, you may also ask the owner to erase your personal records. You can also unsubscribe to any marketing material that we may send you at any time.
